As you’re likely aware by now, Dropbox Sign has recently become a Dropbox company — so when you hear us say “we,” we’re referring to both companies.
And hopefully you’re also aware by now of how much we appreciate our customers. It’s one thing to write about how much we appreciate them, but it’s another to show that appreciation by building things that improve their workplace processes, help them get and stay organized, and, most importantly, give them the modern functionality they need to get their work done faster and easier.
Dropbox Sign first made its commitment to customers clear when they built their best-in-class eSignature API. This revolutionary API allows developers to embed Dropbox Sign’s cutting-edge electronic signature technology directly into the platforms their organization is already using. In addition, Dropbox Sign’s eSignature API includes a white labeling feature to ensure a completely smooth, seamless, and on-brand experience for end-users.
And that commitment to the customer experiences still continues today with Dropbox Sign’s embedded paperless signing in Dropbox.
A case study in what’s possible when a technology company puts users’ needs first, today we’d like to showcase the native eSignature functionality, share tips for getting it up and running in your organization, and talk about some of the benefits you can expect to enjoy when you commit to Dropbox Sign + Dropbox in the same way we’ve committed to helping our customers be more successful.
Benefits of The Dropbox and Dropbox Sign Document Management and eSignature Solution
When Dropbox acquired Dropbox Sign in 2019, we saw it as an extension of our mission to design a more enlightened way of working.
What did this continuation of our mission look like in “real life?” It looked like building a native integration of Dropbox Sign’s eSignature capabilities directly within the Dropbox interface. With Dropbox Sign embedded right inside Dropbox; users could finally seamlessly send, sign, and store agreements without ever leaving Dropbox.
There are quite a few benefits our customers can expect to enjoy when they implement the Dropbox and Dropbox Sign integration into their day-to-day work life.
The first major benefit of working with Dropbox Sign + Dropbox is efficiency.
On average, employees switch between 35 tools a day and spend 20% of their workweek just searching for internal information! Logging in to different software systems, searching disparate interfaces for documents, manually saving and exporting paperwork to your desktop — once all of these tasks add up, something that should have taken a few minutes ends up taking the entire afternoon and input from several people. But by combining two essential functions (document management and eSignatures) into a single tool, we’ve taken several of these menial, manual tasks off of users’ plates to make them and their workplaces more efficient. This greatly simplifies the workflow and allows employees to get their work done efficiently.
The second benefit you need to understand is that eSignatures speed up workflows.
Sales teams, for example, can speed up their time to revenue with electronic signatures by eliminating manual steps in the paperwork process and allowing signers to execute contracts remotely — both of which allow them to get to the electronic funds transfer faster!
For non-revenue-generating departments such as human resources, an eSignature solution can automate lots of manual tasks associated with creating, sending, fact-checking, and inputting data from digital documents.
And with the integration of Dropbox’s document management application, employees can enjoy all the benefits of Dropbox Sign’s eSignature solution — from creating the documents to getting them remotely executed by all involved parties — on any mobile device. No need to slow down workflows until you’re back at the office or have access to the proper computer terminal.
One more major benefit of using Dropbox Sign and Dropbox’s integrated eSignature and document management solution is the ability to provide accountability and security.
Most major electronic signature vendors provide a secure way to sign documents — but then what? How do you share those documents — download them as PDFs then attach them to an email? This not only reduces the security of the documents by a great deal, but it also limits your ability to create a trackable audit trail within the documents.
As a pioneer in the document management space, Dropbox’s features include customizable access, cloud synchronization, and transparent change tracking. By integrating eSignatures into Dropbox’s award-winning file management software, you get the best of all three worlds — accountability, security, and efficiency.
Fewer tools, faster workflows, and less friction between you and the work you need to get done — that’s the promise of the Dropbox Sign and Dropbox integration in a nutshell.
Sounds pretty good, doesn’t it? At this point, you’re probably thinking something along the lines of “OK, I like it in theory, but how does it actually work?” Read on to learn how to integrate Dropbox Sign + Dropbox at your organization!
Dropbox Sign is Now a Part of Dropbox
The Dropbox Sign and Dropbox solution allows users to manage the entire eSignature and document storage workflow from end-to-end— from creation to execution to storage and everything in between.
Here’s how it works.
How to Use Dropbox Sign from Within Dropbox
You can also use the Dropbox Sign + Dropbox from within Dropbox, of course.
If you’re starting off in Dropbox, first find (or create) the document that you will need to add a signature to. When you’re ready to add an electronic signature, just select the PDF or Word doc to be signed and you’ll see an Open menu where you can instantly select Dropbox Sign.
Next, your document will open within Dropbox Sign. From there, it’s easy to send it out for a signature (or signatures) in just a few quick clicks. Your electronically-signed documents are automatically stored back in the same original Dropbox project folder.
At any point before you add the signature requirements, you can easily collaborate with your team to edit, proof, and change content.
You can also access Dropbox features from Dropbox Sign. We promise it really isn’t too easy to be true — this solution was carefully designed to be incredibly simple and seamless to use no matter which application you’re starting from.
